As the Event Manager, you will formulate, execute and manage the administration of and logistics for a variety of Murphy USA events each year such as manager meetings, trade shows, public events, store/field/customer events, presentations, and incentive award travel. You must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision.
Key responsibilities include:
Gathering information on each project to achieve quality events by identifying resources and negotiating costs to reduce expenditures while maximizing event quality: e.g. conducting research, making site visits, and finding resources to help make decisions about event functions; negotiating space contracts and booking event space, arranging food and beverages, ordering supplies and audiovisual equipment, making travel arrangements, ordering event signs, and ensuring appropriate event décor; preparing and modifying event contracts and correspondence.
Preparing and maintaining budgets and providing progress reports to project stakeholders in addition to tracking event finances including check requests, invoicing, vendor sponsorships and reporting.
Identifying and managing vendor sponsors for each event, including reimbursement as well as liaising with vendors on event-related matters and assisting with managing on-site production and clean up for events as necessary.
Proposing new ideas to improve the event planning and implementation process.
Representing the organization at internal and external public events (such as government meetings, media interviews, national meetings, etc.) in a professional, intelligent manner, in both prepared and impromptu formats of groups ranging in size from 1 to 2500 attendees.
Requirements:
Education: Bachelor’s degree
Experience:
Significant event planning work experience can substitute for the degree.
Several years of working experience negotiating contracts, forming agendas, and developing events on both a small and large scale
Prior work experience as an event coordinator preferred
2 years experience coordinating special large events, such as trade shows
Qualifications:
Skills in personnel interaction and negotiation with difficult people
Excellent communication skills, including writing, proof reading skills, and public speaking
Ability to manage multiple projects and work assignments from a variety of staff, outside vendors, and volunteers
Excellent interpersonal skills both in person and by phone, with high professionalism
Ability to accomplish projects with little supervision
Fantastic customer service ethic and high expectations for quality
Contract negotiation and accounting/budgeting experience
Intermediate proficiency using the latest versions of Microsoft Word, Excel, PowerPoint; e-mail and web searches
Must have legal authorization to work in the US on a full-time basis.
